We access your Google Calendar information only with your explicit consent, and only to read your availability and create meetings you initiate from the Meetavel platform.

In addition to the primary calendar, Meetavel may access and display availability from other calendars associated with your Google account (e.g., shared, subscribed, or delegated calendars), provided they are marked as selected and visible by you in your calendar settings.

Meeting Data

  • Meeting details (title, date, time, participants)
  • Guest information provided during booking
  • Meeting notes and messages
  • Video conferencing links and meeting recordings (if enabled)

Technical Information

  • IP address and browser information
  • Device type and operating system
  • Usage analytics and performance data

With Your Consent

Google User Data Usage

How We Use Google Calendar Data

Meetavel integrates with Google Calendar to provide scheduling functionality. Here's specifically how we use your Google data:

  • Calendar Reading: We read your calendar events to determine your availability for scheduling meetings
  • Event Creation: We create calendar events when you schedule meetings through our platform
  • Event Updates: We modify calendar events when you reschedule or update meeting details
  • Availability Display: We display your busy/free times to meeting participants for scheduling purposes

Scope of Access

We request the following minimal Google Calendar permissions:

  • https://www.googleapis.com/auth/calendar.readonly - Read-only access to view your calendar events and availability
  • https://www.googleapis.com/auth/calendar.events - Limited access to create and modify calendar events that you initiate through Meetavel

Important: We only access calendar data when you're actively using Meetavel features that require it. We do not continuously monitor or access your calendar data in the background. We use the most restrictive permissions necessary for our functionality.

Data Minimization

We only access and store the minimum amount of Google data necessary to provide our scheduling services. We do not access or store the content of your private calendar events beyond what's necessary for scheduling coordination.

Google User Data Retention

We retain Google user data only as long as necessary to provide our services:

  • Calendar Access Tokens: Stored securely and refreshed as needed while you use our service
  • Calendar Event Data: Cached temporarily (up to 24 hours) to improve performance, then automatically deleted
  • Availability Information: Processed in real-time and not permanently stored
  • Meeting Events: Created events remain in your Google Calendar under your control

Account Data Retention

  • Active Accounts: Data retained while your account is active and for 30 days after last login
  • Meeting History: Kept for 2 years for support and legal compliance purposes
  • Communication Records: Support conversations retained for 3 years
  • Analytics Data: Anonymized usage data retained for 2 years for service improvement

Data Deletion Rights

You have the following options to delete your data:

  • Revoke Google Access: Disconnect Google Calendar integration at any time through your account settings
  • Delete Account: Request complete account deletion through your account settings or by contacting us
  • Data Export: Request a copy of your data before deletion
  • Automatic Deletion: Inactive accounts are automatically deleted after 1 year of inactivity

Deletion Process

When you delete your account:

  • All personal data is deleted within 30 days
  • Google Calendar access is immediately revoked
  • Meeting events in your Google Calendar remain under your control
  • Some data may be retained longer for legal compliance (anonymized)
  • Backups are securely destroyed within 90 days

Legal Retention Requirements

Some data may be retained longer when required by law, such as financial records for tax purposes or data needed for ongoing legal proceedings. This data is anonymized when possible and deleted as soon as legally permissible.
